Terms & Conditions



1. Introduction and Definitions

These Terms and Conditions govern the relationship between The London Chin Woo Company Ltd (trading as The British Institute for Chinese Martial Arts), hereinafter referred to as "the Institute," "we," or "us," and the individual applying for membership, hereinafter referred to as "the Member" or "you."

  • "The Institute" refers to the legal entity and its instructors, staff, and representatives.

  • "Activity" refers to any martial arts training, grading, seminar, or event organized by the Institute.

2. Membership and Enrollment

  • Eligibility: Membership is subject to the completion of an application form and the payment of any relevant registration fees. The Institute reserves the right to refuse membership without providing a specific reason.

  • Accuracy of Information: You agree to provide accurate personal details and to notify the Institute immediately of any changes to your contact information or health status.

3. Health, Safety, and Risk

  • Inherent Risk: The Member acknowledges that Chinese Martial Arts (Kung Fu, Tai Chi, Sanshou, etc.) are contact sports. Participation carries an inherent risk of physical injury. By signing these terms, you voluntarily assume these risks.

  • Medical Fitness: You warrant that you are in good physical condition and have no medical reason or impairment that would prevent you from safely participating in classes.

  • Disclosure: You must disclose any pre-existing medical conditions, injuries, or allergies before your first session. If your health status changes, you must inform your instructor immediately.

  • Instruction: Members must follow the instructions of the coach/instructor at all times to ensure the safety of themselves and others.

4. Fees and Payments

  • Membership Fees: Fees are payable in advance via [Direct Debit/Standing Order/Monthly Installments].

  • Late Payments: The Institute reserves the right to charge a late fee or suspend training privileges if fees are more than [e.g., 7 days] overdue.

  • Annual License/Insurance: All members must hold a valid training license and insurance, renewable annually. Training without valid insurance is strictly prohibited.

  • Price Changes: We reserve the right to review and change membership fees. Members will be given at least 30 days’ notice of any price increases.

5. Cancellation and Refunds

  • Member Cancellation: You may cancel your membership by providing [e.g., one full calendar month’s] written notice via email.

  • Refunds: Membership fees are non-refundable. No refunds or credits will be issued for missed classes due to personal reasons, holidays, or minor illness.

  • Club Cancellation: The Institute reserves the right to cancel classes (e.g., for Bank Holidays or instructor emergencies). We will endeavor to provide notice where possible, but no partial refunds will be issued for individual class cancellations.

6. Code of Conduct

To maintain the tradition and integrity of the Chin Woo spirit, members must adhere to the following:

  • Respect: Show respect to all instructors, seniors, and fellow students.

  • Punctuality: Arrive at least 5-10 minutes before class starts.

  • Uniform: The correct Institute uniform and sash must be worn for all sessions unless otherwise stated.

  • Behavior: Bullying, harassment, or aggressive behavior outside of controlled sparring will result in immediate termination of membership.

  • External Training: Members are expected to uphold the reputation of the Institute. Using techniques learned at the Institute for "street fighting" or unauthorized aggression is grounds for immediate expulsion.

7. Safeguarding and Child Protection

  • The Institute is committed to providing a safe environment for children and vulnerable adults.

  • All instructors undergo relevant DBS checks.

  • Parents/Guardians of minors must remain on-site or be contactable at all times during training sessions.

8. Data Protection (GDPR)

  • We collect and store your personal data only for the purposes of managing your membership and ensuring your safety.

  • We will not share your data with third parties except for insurance providers or as required by law.

9. Photography and Media

  • The Institute may occasionally take photographs or videos during classes for marketing or educational purposes.

  • By agreeing to these terms, you grant permission for your image to be used. If you wish to opt out, you must notify us in writing.

10. Limitation of Liability

  • The London Chin Woo Company Ltd shall not be liable for any personal injury, loss, or damage to personal property, except where such injury or loss is caused by the proven negligence of the Institute or its staff.

  • The Institute is not responsible for any items lost or stolen on the premises.

11. Governing Law

  • These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
